Registration Policies

Registration Policies

 

Registrations will only be accepted online, by fax, or by mail.  Full payment must be received with your registration form, or your registration will not be processed. 

 

Purchase Orders/Payments

The IMA Annual Conference & Exposition does not accept purchase orders as a form of payment.  Please make advance payments by Visa, MasterCard, Discover, American Express, or check.  These forms of payment in addition to cash will be accepted for on-site payments. 

(*Note: On-site registration fees are non refundable.)

 

Confirmation

Confirmation letters will be sent via e-mail upon receipt of full payment. 

 

Important note:  Please allow up to two weeks for confirmation of registrations paid by check and mailed to IMA. 

 

Educational Sessions

Only individuals registered and badged may attend Conference events.  Guests must register in order to attend sessions, luncheons, and Optional Events. 

 

Pre-Conference workshops are limited in capacity.  If you are registering by mail or fax and your participation at the Conference is predicated on attending a pre-Conference workshop, please do not make travel plans until you receive written confirmation from IMA that you are confirmed for that session, as IMA is not responsible for any travel or lodging expenses or out-of-pocket costs incurred.

 

Cancellation/Refund Policies

Request for cancellations must be submitted in writing and received by IMA prior to May 14, 2010, in order to receive a full refund.  Refunds are not given for no-shows.  Cancellation request may be e-mailed to dhuckins@imanet.org or by mail to:  IMA Annual Conference, IMA, 10 Paragon Drive, Suite 1, Montvale, NJ 07645.  IMA is not responsible for delayed mail or incorrectly addressed correspondence.  Refunds will be issued within 30 days after the Conference. 

 

Monday, April 12, 2010, by 5p.m. (EST)

Deadline for Early Bird registration. Regular registration fess will apply after  Monday, April 12, 2010. 

Mailed and faxed registrations must be received by Monday, April  12, 2010, to qualify for Early Bird registration fees.

 

Friday, May 14, 2010, by 5p.m. (EST)

Deadline for full registration refund. Cancellations received between May 14 and May 31 will be refunded one-half of the registration fees paid. 

After Monday, May 31, 2010, no refunds will be granted. 

 

Monday, May 24, 2010, by 5p.m. (EST)

Deadline for Normal registration. On-site registration fees will apply after Monday, May 24, 2010. 

Mailed and faxed registrations must be received by Monday May 24, 2010, to qualify for Normal registration fees. 

 

Monday, May 31, 2010, by 5p.m. (EST)

Deadline for registration refund

 

IMA is only responsible for processing the Conference registration.  If for any reason you must cancel your Conference registration, please remember to cancel your hotel accommodations directly through the Baltimore Marriott Waterfront Hotel.

 

IMA reserves the right to cancel sessions if minimum registration numbers are not met.  Attendees will have the option to attend other sessions in the same time period.

 

IMA reserves the right to cancel the 91st Annual Conference & Exposition if conditions warrant.  In the event of such a cancellation, registration fees will be refunded.  IMA is not responsible for any travel or lodging expenses or out-of-pocket costs incurred.

 

 

Substitutions

Requests to substitute your registration must be in writing and received by IMA by Monday, May 31, 2010, to dhuckins@imanet.org or by mail to:  IMA Annual Conference, IMA, 10 Paragon Drive, Suite 1, Montvale, NJ 07645.  Requests for substitutions will not be permitted after Monday, May 31, 2010.  All substitutions are subject to a $75 administrative fee, plus any additional fees due to differences in the member type. 

 

Liability Waiver

All registered participants agree and acknowledge that they are undertaking participation in IMA events and activities as their own free and intentional act and are fully aware that possible physical injury might occur to them as a result of their participation in these events. Participants give this acknowledgement freely and knowingly that they are able to participate in IMA events and  do hereby assume responsibility for their own well-being.  They also agree not to allow any other individual to participate in their place.

 

Photography

All registered participants agree and acknowledge that IMA plans to take photographs at IMA’s 91st Annual Conference & Exposition and reproduce them in IMA educational, news, or promotional material, whether in print, electronic, or other media, including IMA website.  By participating in IMA’s 91st Annual Conference & Exposition,  participants grant the IMA the right to use their name,  photograph and biography for such purposes.
